The Basingstoke Writers’ Circle committee is selected yearly at the Annual General Meeting. There are four positions in the committee, shown below along with the responsibilities of each position:

- Overall direction of BWC related to the constitution and the majority needs of members.
- Leadership of Committee meetings including preparation and/or approval of minutes.
- Media spokesperson.
- Origination of and or approval of Press releases.
- Communications strategy.
- Website Content management.
- Future programme of events.
- Meeting agendas/leadership/facilitation.
- Commercial / contract negotiations.
- Monitoring of progress towards agreed aims or objectives.
- Preparation of BWC annual report.
- Secretary (David Lewis)

- Monthly meeting notifications/reminders.
- Room booking and meeting organisation.
- Be key holder, open and secure meeting venues.
- Agenda issue.
- Minutes / note taking.
- Day to day correspondence handling and acknowledgement.
- Website content preparation (as agreed by Committee).
- Secretarial support to committee members (inc any sub committees formed).
- Treasurer (Ruth Wiseman)

- Maintain BWC accounts.
- Collect in and record annual/monthly subscriptions, sales of paper / audio anthologies and any other source of income.
- Bank funds.
- Record and issue cheques for transactions e.g. room hire, guest speaker fees / expenses, charity donations etc.
- Reconciliation of Bank Statement – quarterly.
- Keep Bank Statements (available for BWC members should they wish to peruse).
- Ensure wherever possible receipts are retained and recorded for all purchases e.g. Postage, stationery, tea / coffee sundries etc.
- Record/chase up any monies owning to BWC.
- Consult with Chairperson / Committee Members on financial matters outside of regular business/advise any (impending) issues.
- Attend sub-committee meetings, or any meeting relevant in fundraising for BWC.
- Prepare annual accounts — externally checked and signed off.
- Community Relations (Joan Sullivan)

- Issue and upkeep of approved publicity / press releases.
- Maintaining of publicity and press articles portfolio folder.
- Act as the initial point of contact for new / existing members.
- Day to day liaison with community groups.
- Seek and provide information on local or national events or competitions likely to be of interest to BWC members.
- Contact and liaise with future agreed guest speakers on behalf of BWC.
- Promote sale of anthologies.
